The client's goal in selecting DocuShare CPX was to create an easy to use knowledge repository accessible to employees worldwide. While the company was already in the process of deploying SAP Portal Server as their primary Internet platform, they needed a better way for employees to create, manage and share their own content with other employees.
Using DocuShare's Application Programming Interface (API), WaterWare provided a Single-Sign-On integration with SAP Portal Server that produced a seamless publishing and collaboration system.
System Architecture
WaterWare worked closely with the client's IT department to design a System Architecture that would be scalable, secure, fault tolerant and would fit with their existing corporate standards. DocuShare CPX was deployed on Red Hat Linux with an Oracle database, also running on Linux. User and group management uses Microsoft Active Directory and is configured so that a DocuShare account is automatically created the first time a user views DocuShare content embedded in the SAP Portal.
Information Architecture
The structural design of shared information is critical for a knowledge repository that will have 14,000 users in over one hundred business units spread across dozens of countries around the globe. WaterWare helped design an Information Architecture that allows users to easily find information based on the business unit they work for, the projects they are assigned to or the type of information they are looking for.
Key to the Information Architecture is a way for each business unit to have an area for local proprietary content that is only accessible to its employees. WaterWare used DocuShare integration with Microsoft Active Directory groups to design a system that allows local business units to manage access to their proprietary content with minimal day-to-day involvement of the corporate IT staff.
Subsidiary Rollout
Following the corporate headquarters deployment of DocuShare, a repeatable model was developed for rolling DocuShare out to subsidiaries in the US and other countries. As each new business unit comes onboard, their local requirements are evaluated so that they can maintain the security of their autonomous operations and at the same time contribute to the new era of global knowledge sharing and collaboration.
WaterWare continues to provide guidance, training and expertise to these business units as they move legacy content from outdated systems to DocuShare and integrate the new Enterprise Content Platform in their day-to-day business processes.
